Invite your team

Invite members, assign access and roles like chairperson, treasurer or event lead, and understand the members area.

Updated October 11, 2026

Overview

You rarely run events alone. The members area at Members is where you bring your team in: board members, treasurer, volunteers. Everyone works with the same data, each with the fitting access and roles.

The area has two tabs: Overview shows all members with search and filters, Roles shows which roles exist and who holds them.

For immediate help at admission, see Invite crew inside the event. Accounts and shifts are optional.

Setup

1. Send an invitation

Open Members and click Invite member. Enter the email address and choose access and roles. The invited person receives an email and lands directly with you after signing in. An existing Gathermatter account is not required. If needed, one is created when the invitation is accepted.

2. Choose access and roles

Access is the base level: Owner, Admin (full administration) or Member (no administrative rights). Roles add extra rights. Which roles are available as templates depends on the legal form. For associations, the typical Austrian Verein offices are already built in:

  • Chairperson (Obmann/Obfrau): chairs the association.
  • Treasurer (Kassier): finances and cash management.
  • Secretary (Schriftführung): minutes and correspondence.
  • Auditor (Rechnungsprüfung): reviewing eye on the finances.
  • Event lead (Eventleitung): responsibility for individual events.
  • Social Media and Bookings.

Every role comes with sensible default permissions: a treasurer sees the finances, an event lead manages events. You can only grant rights you hold yourself. If unsure, start with Member and no role, and add more later.

3. Keep an eye on roles

The Roles tab shows all roles and who holds them. This is where you quickly check after the general assembly, for example, whether the offices are still assigned correctly.

Everyday tasks

  • Find members: The overview offers search and filters; click a member to open their details.
  • Change roles: Access and roles can be adjusted at any time, for example when someone new joins the board.
  • Invite as needed: You don't have to invite everyone at once. Bring people in when they're needed, for example the admission crew shortly before the event.

Tips & FAQ

The invitation didn't arrive. What now? Ask the person to check their spam folder and double-check the email address for typos. When in doubt, simply invite again.

Can one person hold several roles? Yes. In small associations one person often covers several offices. The permissions add up.

What do members without a role see? The Member access level has no administrative rights. Members see things like the directory, calendar and events.

Does my team have to pay for Gathermatter? No. Invited members only need a free account.
