Managing events and tickets

From draft to publish: create an event, maintain the fact sheet, set capacity and participation mode, and what the four zones of an event hold.

Updated October 11, 2026

Overview

Open Events for your event list. Every event has two faces: the internal detail page for your team, and the public event page at /e/<slug> where guests buy tickets or register.

The internal detail page has four zones:

  • Plan: schedule, details, program, gig pages, crew and tasks.
  • Sell: tickets, discounts and codes, sales channels and the settings for every ticket.
  • Run: event day with operations (admission, scanner, box office), today, crew live and guests.
  • Review: recap, lists and files, hours and media.

Which sections you see depends on your permissions and on the event: Operations, for example, only appears for ticket events and for people who manage the event or work at admission.

Setup

1. Create the event

In Events, click “New event” (Create an event) and enter the four basics: name, date, venue and entry. Design and additional details stay editable after the draft is created.

2. Choose a participation mode

Under Participation mode you decide how guests take part:

  • Ticket sales: guests buy tickets through the checkout.
  • RSVP registration: free registration with name and email, no ticket sales. Ideal for free events with a guest list and a capacity limit.

3. Maintain the fact sheet

Under Plan › Details you find the event fact sheet, the central place for all core data: event name, short description, description, schedule, day boundary, location, capacity, minimum age, visibility, socials and ticket design.

Tap a value, edit it in the sheet and choose Done. See Change event details for location, entrance notes and participation mode.

The Capacity is your event's upper limit. It controls how many tickets are sellable and feeds the occupancy display under Run › Operations on event day.

4. Visibility and publishing

Every event starts as a draft. Visibility controls who can see it:

  • Draft: visible to your members only, not publicly accessible.
  • Link only: reachable only via the direct link, never listed publicly.
  • Public: listed and discoverable in public events.

Publish takes your event live: the public page at /e/<slug> becomes reachable and guests can buy tickets or register.

Everyday tasks

  • Sell › Tickets: create ticket types, adjust prices and quotas, also after publishing.
  • Run › Guests: see who is coming, with attendees, orders and check-in status (more here).
  • Plan › Program: plan stages and performances (more here).
  • Run › Operations: run admission and sales on event day (more here).
  • Plan › Crew and Tasks: the organizational side with to-dos, crew and shifts per event.

Tips & FAQ

Can I change the participation mode later? Only as long as there are neither orders nor registrations. Switching to RSVP also requires deactivating all active ticket types first.

Why don't I see Operations? Operations only appears for events that sell tickets, and only for people with event management permissions.

What happens when I lower the capacity? Tickets already sold remain valid. The capacity limits further sales and is taken into account by the occupancy calculation on event day.

Can I hide a published event again? Yes. Set the visibility to Link only or back to Draft. Existing ticket buyers keep their tickets.
